Why budget the schedule before you publish it
Most operators write the schedule to cover shifts and check labor cost after the week is over. By then it's too late to fix. Live labor % while you're still moving cells around is the difference between a 28% labor week and a 41% labor week.
The trick isn't complicated math — it's the feedback loop. When you can see "Friday is now 47% labor" the moment you add the third server, you make a different call. That's the entire point of this tool.

Frequently asked questions
What does the labor % mean?
Total labor cost (wages + overtime + employer taxes) divided by sales for the same period. Most full-service restaurants target 28-35% labor. Quick-service typically aims for 25-30%. Bars and high-volume counter shops can run lower. The right number is whatever leaves you the margin you need after food cost and fixed expenses.
How is overtime calculated?
Federal rule: any hours over 40 in a single workweek pay 1.5x the regular rate. The tool sums each hourly employee's weekly hours, then applies the OT premium to anything past 40. Salaried employees aren't subject to the federal 40-hour rule. Some states (California, Alaska, Nevada, others) also require daily overtime past 8 hours — that's not in this tool yet.
What's the employer tax % for?
Wages on a paycheck aren't your full labor cost. As an employer you pay payroll taxes (FICA, FUTA, SUTA), workers comp, and sometimes benefits. Most operators load 8-15% on top of wages to get a true labor cost. Default is 10. Adjust for your reality.
Why two print outputs?
The manager view has every number — hours, costs, totals, sales, labor % — for your back-office work. The employee view strips all of that out. Just names, days, and shift times. That's the version you post on the bulletin board. Staff don't see what anyone else makes, you don't have to maintain two separate documents.
